Short course booking information

2019-20 short courses

We are currently developing our programme of short courses for the 2019-20 academic year. Full details will be published and bookings will open in October 2019. Please note we are unable to confirm which courses will run or release provisional dates ahead of this launch.

Booking application process

We update our website with a list of our current short courses at the start of each academic year. We aim to open bookings and confirm the courses we are running in early October. Courses run from November until July.

To apply for a place please complete the online booking request form. Please note that bookings are all subject to availability and checks of your fee eligibility. We operate on a strict first come first served basis.

Our courses are extremely popular, so we recommend early booking to avoid disappointment.  We endeavour to keep individual course webpages up-to-date with the availability of free and paid places but please remember that this information is not updated in real time and is for guidance only.

We do our best to process all booking applications promptly, however during busy times it can take up to two weeks.

Places on some courses are subject to approval by the course organiser, to ensure suitability for the applicant. In these cases, we contact applicants by email to request supplementary information about their level of expertise to best assess their application.

Subject to availability, we offer a limited number of free and discounted places for eligible applicants. Further information can be found on our course fees page. All affiliations are checked to confirm eligibility. Full price places will be offered if applicants are not eligible for free or discounted places.

Once all relevant checks have taken place applicants are sent an email to confirm their booking status. If a course is full applicants are automatically added to the waiting list. If a place becomes available, we contact applicants in the order they joined the waiting list. Applicants are given 48 hours to respond by email before their waiting list place is cancelled and the next applicant is approached. If a place becomes available within 7 days of a course start date all applicants on the waiting list are contacted at the same time and the place allocated to the first responder. We regret that we are unable to advise on the likelihood that places will become available but recommend that applicants hold the time in their diary if they are keen to attend.

All bookings remain provisional until payment is received. We require prompt payment, in line with the full booking terms and conditions outlined below. Our short courses are popular and often have a waiting list. Therefore, if we have not received payment in line with the timescales specified in our terms and conditions, provisional places are automatically cancelled.

Approximately three weeks before the course start date all successful applicants with confirmed bookings are sent an email with full course details, including directions and a provisional timetable.

We encourage all delegates to complete anonymous online course feedback to help us to continually improve our courses.

Subject to full attendance delegates are sent an electronic course completion certificate.

  • A penalty fee of £50 per course day is charged for non-attendance unless the application is cancelled in advance.
  • Cancellations made with less than 4 weeks’ notice incur a one-off £50 cancellation fee. Cancellations with more than 4 weeks’ notice are free.
  • This policy is enforced to ensure that as many people as possible can benefit from our very popular courses.
  • All penalty fees are payable within 2 weeks. Until penalty fees are settled, no further courses may be attended or booked.
  • If penalty fees are not paid, all other current bookings will be cancelled and no further bookings will be accepted in either current or subsequent years.
  • Bookings for new applicants take priority. Applicants who have already completed a course and wish to repeat it may contact the short course team 2 weeks in advance of the course start date to see if there are places available or to join the waiting list.

  • UoB journal payments for short course fees must be arranged by the Assistant Accountant for the payee’s grant code.
  • If applicants need to cancel a booking, we ask for as much notice as possible to allow others to take advantage of the available course place.
  • Applicants cancelling more than 4 weeks before the start of a course will receive a full refund.
  • We cannot refund fees if a cancellation is made 4 weeks or less before the start of a course.
  • In the unlikely event that we are obliged to cancel or curtail a short course, our liability is limited to refunding course fees for the days affected. We recommend that applicants have adequate insurance cover to reclaim any travel or accommodation expenses.

Policy for internal-only and pilot short courses

  • Internal-only and pilot short courses are available only to specified internal applicants.
  • Pilot courses do not count against the allocation of free course places, and course fees do not apply.
  • Places on established internal-only courses (currently only Writing a Journal Article) do count against course allocation totals. Fees are payable if applicants’ course allocation totals have been exceeded.

Bookings for the 2018-19 short course programme have now closed.

Courses listed on this page relate to the 2018-19 year and are for information only. Course details will be updated over the summer and relaunched in early October 2019.

Our courses are extremely popular. We endeavour to update individual course pages with information on booking availability, but please be mindful this is a guide only and the information is not updated in real time.

Prompt payment is required to secure a place on a course. Applicants must pay their course fees:

  • within one month of the booking date where the booking is more than two months in advance of the course, or
  • at least one month in advance of the course start date where the booking is two months or less in advance of the course, or
  • immediately where the booking is one month or less in advance of the course.

If payment is not received within the times given above provisional places will automatically be cancelled.

Visa information for non-EU applicants

We are unable to provide visa application support letters for non-EU applicants. We recommend that non-EU applicants ensure sufficient time to apply for a visa in advance of course start dates.
