Guidance on how to use the room and desk booking system (HubStar) at the Temple Quarter Enterprise Campus.

Accessing HubStar
Staff can use HubStar to book spaces at the Sheds, Sloane Robinson Building and Howard House. Students and commercial members will be able to book these spaces from September. HubStar can be accessed in several ways:
- your web browser
- the HubStar Connect mobile app, which you can download from Google Play and Apple App Store
- the Outlook plugin.
How your data is used
To help everyone make effective use of our workspaces, HubStar displays some basic booking information with other users. This works in a similar way to Outlook room calendars, where colleagues can see when a space is booked and by whom.
Booking details
Your name and booking information for desks and rooms are visible to other users. If you prefer not to share these details, you can simply mark the booking as private.
Find a colleague
The system includes a feature that lets you favourite colleagues, so you can see where they are working and book a nearby space to support collaboration. This is enabled for everyone but you can opt out at any time in the settings menu.

Signing in
Access HubStar via your browser, by downloading the mobile app or via the plugin. Sign in using your University of Bristol account. The first time you log in, you may need to use token “UOB”.
Book a desk
To book a desk, follow these steps:
- Click on the plus sign and then ‘Book a Desk.
- Use the top menu to choose your date and time.
- Click the 3 lines to the right of the 'Back' button to apply filters, including location.
- Choose any green desk on the map, or select one from the list.
- Click 'Select Location'.
- Click 'Confirm Reservation' to complete your booking.
Booking a room
To book a room, follow these steps:
- Click on the plus sign and then ‘Book a Room’.
- Use the top menu to choose your date and time.
- Click the 3 lines to the right of the 'Back' button to apply filters, including location.
- Choose any green room on the map, or select one from the list.
- Click 'Select Location'.
- Click 'Confirm Reservation' to complete your booking.
Some users may require approval before a room booking is confirmed.
Check in to your booking
You must check in at the start of your booking to confirm you are using the space. If you do not check in, your booking will be cancelled automatically.
You can check in using one of the following methods:
- in HubStar, go to 'Agenda' or 'Week View' and select ‘Check-In’
- click the link in your check-in reminder email.
Check-in time windows
For desk bookings, you need to check in within one hour of the start time.
For meeting room bookings, you need to check in within 15 minutes of the start time.
Manage your bookings
- Open 'Agenda' or 'Week View' to find your booking within the website or mobile app.
- Select 'Edit' to amend your booking, or click on the three dots to delete it.

Sloane Robinson Building
Sloane Robinson Building users should still read the standard user guides to understand how the system works. However, some spaces in the building have different booking rules and permissions, so please also refer to our HubStar guidance for the Sloane Robinson Building (PDF, 813kB) for additional information.
