What is My Students?

My Students is a web based application that allows members of staff to look up students. You can use My Students to:

  • Search for students by
    • Student number
    • Username
    • Surname
  • Search for units by
    • Unit Code
    • Unit Name
  • Search for programmes by
    • Programme Code
    • Programme Name
  • List students on programmes
  • List students taking units
  • Download lists to Excel
  • Generate student mug shots/ rogues gallery by unit or programme
  • Email registered students on units
  • View detailed information about students – this includes addresses, exam timetables, programme registrations and unit registrations
  • View information about students for whom you are recorded in SITS as the registered Tutor/Personal Tutor/Supervisor.  Registered tutors will also be able to view their students' unit/assessment results.

Logging in/out

To log in:

  • Navigate to www.bris.ac.uk/mystudents
  • Click on the blue Login link
  • You will be taken to the University's Single Sign-On (SSO) for web applications page
  • Enter your UoB username and password and click on the Login button

To log out:

  • Click on the Logout button at the bottom of the navigation bar
  • Then close your browser

Navigation Bar

The Navigation Bar can be found on the left hand side of each page and includes the following options:

  • Help – Opens a new window and brings you to this page
  • Home – takes you back to the My Students front page
  • Search – allows to search for students, programmes and units
  • Browse by unit – browse units by faculty, department and unit level
  • Browse by programme – browse programmes by faculty, programme and year of study

Breadcrumbs

Every page in My Students has a breadcrumb trail at the top. This helps you navigate the site by showing you where you are and providing links to higher level pages. For example, if you had browsed by programme, (Faculty of) Arts and selected the Garden History programme you would see the following breadcrumb trail.  Use either the breadcrumb trail or the navigation bar to move around the screens.

 University home > My Students > Programme > Arts > Garden History (MA) All.

Clicking on Arts would take you back to all of the Faculty of Arts programmes, clicking on Programme would take you back to the list of Faculties and clicking on My Students would take you back to the home page.

Searching for students

  1. Click on the “Search” link in the left navigation bar to go to the search page
  2. Select the item that you would like to search on from the drop down list. Then enter your search criteria into the text field and click on the search button
  3. You have the following options
    1. Student Number – you must enter the full seven digit student number
    2. Username - the student's UoB user name. You can use the % wildcard. e.g. entering db% will return a list of all students whose username starts with db
    3. Surname – the student's surname. You can use the % wildcard. e.g. entering A%SON will return a list of all students whose surnames begin with an A and end with SON
    4. Unit Code – a unit’s nine digit code. You can use the % wildcard e.g. entering DRAM3% will return all the level 3 units in Drama
    5. Unit Name - a unit’s name. The search will return all units that have the words that you have entered in their titles. E.g. entering Special Subject will return all units with the words ‘special’ or subject’ in their titles
    6. Programme Code - a unit’s nine digit code. You can use the % wildcard e.g. entering 1DRAM% will return all the programmes in Drama
    7. Programme Name – the name of the programme. The search will return all programmes that have the words that you have entered in their titles. e.g. entering MPhil will return all programmes that have the word MPhil in their titles

Browsing by Unit

(please note that early in the session few students may be registered on units)

  1. Click on the Unit link in the left navigation bar
  2. Click on a Faculty
  3. To see a full list of a department’s units click on the department’s name in the Department column
  4. To see a list of a department’s units by level click on a level in the Unit Levels column
  5. Click on a unit title in the Unit Name column to see a list of students.  To view all students, select the 'All students' tab.  Further tabs are available that allow you to view students by category.  The 'Registered' tab will list students with an enrolment status of provisionally registered (PR), provisional (P) or with a registered status (R*).  The 'Inactive' tab will list students with an enrolment status of Leave of absence - for full academic year (WN) or Temporarily withdrawn  - Less than an academic year (WT).  The 'Leavers' tab will list students with an enrolment status of successful (S*) or withdrawn (WD).
  6. You have a number of options       
    1. Click on the surname in the Surname column to view detailed information about a student
    2. Email Students (registered students only) – Select the 'registered' tab and select the 'Email students' button to send an email
    3. Email Archive – An archive of the emails that have been sent to students
    4. Student Photos – Student mug shots
    5. Download As Excel – Download the list of students into Excel

Browsing by Programme

  1. Click on the Programme link in the left navigation bar
  2. Click on a Faculty
  3. To see all the students taking a programme click on a programme name in the Programme Name column
  4. To see all the students taking a programme in a particular year of study click on a year in the Years column
  5. As with browsing by unit, to view all students, select the 'All students' tab.  Further tabs are available that allow you to view students by category.  The 'Registered' tab will list students with an enrolment status of provisionally registered (PR), provisional (P) or with a registered status (R*).  The 'Inactive' tab will list students with an enrolment status of Leave of absence - for full academic year (WN) or Temporarily withdrawn  - Less than an academic year (WT).  The 'Leavers' tab will list students with an enrolment status of successful (S*) or withdrawn (WD)

Sending Email

  1. Browse or Search by Unit then navigate to the list of students that you want to send an email to. Click on the Email Students button
  2. Find the students that you want to send an email to by Searching or Browsing by unit
  3. Click on the Email Students button
  4. Enter a subject
  5. Enter a short message. To avoid unduly loading the mail system you may only send short messages (no more than 1000 characters)
  6. You can enter a optional url in the URL field
  7. Click on Send Mailshot

Exporting To Excel

  1. Find the students that you want to export to Excel by Searching or Browsing by unit or programme
  2. Click on the Download As Excel button
  3. Click on Continue with Download
  4. When prompted by your Browser Save the File on your PC
  5. Click on back to return to the previous page

Student Photos

  1. Find the students for who to you want to view a print a rouges gallery by Searching or Browsing by unit or programme
  2. Click on the Student Photos button
  3. You have a number of options
    1. Click on a photo to view detailed information about the student.
    2. You can change the way the page is displayed using the columns drop down then clicking on the Change button
    3. Print the gallery by clicking on Printer Friendly Version this will generate a version of the page without the normal header, footer and navigation bar.  Print preview before you print to make sure that the margins are ok. Close the page to return to the previous page

Viewing detailed student information

Members of staff whose job requires access to student data can view detailed information about students. This information includes addresses, programme and unit registrations. If you are able to see detailed information about a student you will be able to click on the student's Surname.  Please note that only registered tutors (as recorded in SITS) are able to view their students' unit results/assessments.

The display of unit results in 'My Students' works the same way as the unit results screen in the 'Student Info' application.  When faculty offices instruct the student systems team to display the overall unit results in Student Info,  the unit results will automatically be displayed in 'My Students'.  Most of the unit results in 'My Students' will be from the 06/07 session when the unit results screen in Student Info was implemented.  Assessment details will be shown if they have been set up in SITS. Unlike the unit results page, historical assessments will be displayed.

All members of staff -  If you are not able to select the 'Surname' to view detailed information and you require access, please complete the Student System Access Form [Word Document - 45Kb] and return it to the Student Systems and Information Office, Ground Floor, Senate House.  We will then arrange for you to have access to detailed student information on 'My Students'.  We will notify you when this has been done.

Registered tutors - If you are able to select the 'Surname' to view detailed information but you are not able to view your students' unit/assessment results, this is likely to be because you are not registered as the Tutor/Personal Tutor/Supervisor for your students on the student record system (SITS).  Please email a csv file containing a list of your student numbers and UoB username to ssio-systems@rtis.bris.ac.uk.  For example,

Access to unit/assessment results - If you need access to unit or assessment results for students taking units in your school/department please contact SSIO.  The access option is to students taking your school/department programmes.  More senior staff may request access to all student results.  This may also apply to tutors who require wider access than their immediate tutees.

Tutees

If you have been registered as the Tutor/Personal Tutor/Supervisor for a student in SITS then you will see a View My Students link in the left navigation bar.   To view all students, select the 'All students' tab.  It is possible to view students by year.  To do this, select the tab for the required year.

    2. Student Photos – Student mug shots
    3. Download As Excel – Download the list of students into Excel
