Operational Procedures

The Capital Maintenance & Infrastructure Group (CMI) of the Estates Office is responsible for the strategic planning and delivery of works necessary to ensure the existing Estate and Infrastructure is high quality, fit for purpose and compliant with current legislation.

This operation procedures manual contains the administrative procedures within which the work of the CMI Group is carried out; variations from the processes laid down herein are not permitted although from time to time special circumstances require flexibility of approach.  Any variations in procedure must be agreed in advance with line managers or the Head of Capital Maintenance and Infrastructure Group (Senior Surveyor).

Estates also has a range of specific Works Instructions which prescribe procedures that have been designed to maximise Health and Safety of those involved in carrying out works.  Although these primarily apply to the directly employed trades persons in the Reactive Maintenance team, CMI staff should also adhere to these rules to ensure Contractors follow the rules as appropriate.  Each member of staff should be conversant with all procedures and instructions relating to their area of work.

All procedures are updated either six- monthly, twelve-monthly or two-yearly and re-issued to members of staff via e-mail or individuals with Internet access will be able to reference the latest version on-line.  Hard copies of updates will be passed to line managers for disseminating staff without email and Internet access.
