Departmental printers (MFDs)
The University uses large multi-function-devices (MFDs) for printing, photocopying and scanning. These are found in most areas of the University. From August 2026, all devices will be available for use by both staff and students (depending on access).
Departmental printing and printers
As part of the Professional Services Transformation Programme, it has been agreed to centralise all MFD management under Print Services, and reduce the size of the fleet to be more aligned to current demands.
There is currently a freeze on the procurement of new printers and the movement of printers whilst an audit and rationalisation of the fleet takes place. This is expected to conclude in April 2026 with the new fleet coming on-line from June 2026.
From August 2026, all leases, click charges and paper will be paid centrally and these costs recovered through a higher click-rate which will be adjusted periodically to ensure that costs are covered but no more.
With the rationalisation, we aim to maintain good access to MFDs whilst making devices accessible to the maximum number of people. Though MFD numbers will fall, the number of devices students can access will not be affected.

New or replacement printers
Once the rationalisation of the fleet is complete, decisions on new or replacement printers will be made centrally, if you wish to have an input into the decision making, please contact Sustainable Print.
Move or dispose of printers
Canon MFDs should not be unplugged as they need to report back to Canon on a regular basis.
MFDs must not be moved between buildings or within a building. If you wish to suggest an alternative location for an MFD, please contact your Facilities Manager or contact Sustainable Print.
Personal desktop printers
In exceptional cases, it may be appropriate to procure a desktop or LBP printer. LPBs are not on the network, their use is not supported by IT Services and they are paid for locally.
To help minimise the number of LBPs, we have a number of Canon printers which are available to loan. To borrow one of our Canon printers, contact Sustainable Print.
