Bristol Summer Schools at the University of Bristol : Terms and Conditions 2025

1. Binding terms  

1.1 These terms and conditions apply to the Bristol Summer programmes 2025 (the “Summer Schools”) offered by the University of Bristol, Beacon House, Queens Road, Bristol, BS8 1QU, UK (the “University”).

1.2 By submitting your application, you (also referred to as the “Applicant(s)”) confirm that you have read and understood these terms and conditions and agree to be bound by them.

1.3 The contract between you and the University is formed when you accept an offer of a place on your chosen Summer School. Accepting an offer is considered to be the point at which you have submitted the offer acceptance form, and if the Programme Fee (the “Fee”) is specified on your offer letter, the point at which you have submitted the offer acceptance form and also made payment of the Programme Fee.

1.4 For the purposes of this contract the webpages referred to in this document are deemed to be included into the terms and conditions of this contract.

2. Applications 

2.1 A place on a Summer School will be offered on the basis that you are able to fulfil the eligibility requirements stated on the webpage of your chosen Summer School, that your application has been deemed successful by the lead academic team, and that the University has places available on your chosen Summer School.

2.2 Applications must be made using the online application form. If you provide untrue or falsified information on your application form the University reserves the right to reject your application or withdraw any offer issued and/or terminate this contract with no refund of any Programme Fee paid. All admission decisions by the University are final.

3. Payment terms  

3.1 Programme fee  

The Programme Fee for attending a Summer School is stated in your offer letter.

Applicants shall be responsible for all costs and expenses relating to their participation in the Summer School which are not included in the Programme Fee. These include, but are not limited to:

  • travel to and from the University;
  • medical, travel and other insurance premiums;
  • vaccinations and immunisations;
  • any language testing required;
  • all passport, visa or permit costs and incidental expenses; and
  • any of the above as they relate to any accompanying travellers.

If you are offered a place at a Summer School, you must pay the Fee within the timeframe stated in your offer letter. If you do not, the University may withdraw or cancel any offer issued and this contract will terminate.

3.2 General  

All Fee payments must be made in £GBP (pounds sterling) and are inclusive of any taxes, fees or charges where applicable. Any currency conversion costs or other charges incurred in connection with making these payments shall be paid by you.

4. Cancellation  

4.1 Cancellations, postponement and changes by the University 

(a) The University reserves the right to postpone or cancel a Summer School at any time. If this occurs, we may offer you the option to defer until the following summer or withdraw from the Summer School. The University may cancel a Summer School and will refund any payments you have made under the following circumstances:

  1. If UK government advice or travel restrictions prevent the University from holding the Summer School.
  2. If UK government advice does not prevent the holding of the Summer School, but the University decides to cancel the Summer School.
  3. The University fails to achieve sufficient recruitment levels to the Summer School.

(b) The University reserves the right to move any Summer School online at any time in response to exceptional circumstances. If this occurs, the University will inform you and offer you the right to defer or withdraw.

If your Summer School moves online, the University will offer you a reduced Fee and refund any additional sum paid as part of your original Fee.

If you decide not to participate in the online course, any payment you have made will be refunded in full.

(c) Except as stated above, the University cannot accept any liability for any costs incurred because of a Summer School being cancelled, postponed, amended, or moved online.

4.2 Your right to cancel  

4.2.1 Right to cancel Summer School registration

In accordance with the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, you have the right to cancel this contract within 14 days from the day this contract is formed without giving any reason. To cancel this contract, you must send us an email via bristol-summer@bristol.ac.uk, which we must receive within 14 days of the contract being formed. Please ensure you ask us to confirm that we have received this email.

4.2.2 Effect of cancellation

(a) If you cancel this contract within 14 days of forming the contract, we will refund any portion of the Fee received from you.

(b) Cancellation schedule

If you cancel this contract after 14 days from the date the contract is formed and before the start date of the Summer School, the following schedule will apply:

  1. For cancellation over 8 weeks (57 days or more) before the start date of the Summer School, we will refund 100% of the total Programme Fee.
  2. For cancellation in the 8th or 7th week (from 56 days to 43 days) before the start date of the Summer School, we will keep 25% and refund you 75% of the total Programme Fee.
  3. For cancellation in the 6th or 5th week (from 42 days to 29 days) before the start date of the Summer School, we will keep 50% and refund you 50% of the total Programme Fee.
  4. For cancellation 4 weeks (28 days) or less before the start date of the Summer School or at any time after the start date, you will receive no refund of the total Programme Fee.

5. Summer School conduct  

5.1 The University reserves the right to exclude you from your chosen Summer School without any refund of the Fee if your behaviour or demeanour is considered unacceptable. You agree to comply with all applicable policies and regulations of the University as listed here: Rules and Regulations for Students. You will asked in your Offer Acceptance Form to agree to the University Acceptable Behaviour Policy Statement.

5.2 You must provide the University with all information reasonably requested in connection with your chosen Summer School within the timeframe specified by the University.

5.3 Summer Schools designed for under-18 participants will be subject to an Enhanced Student Behaviour Policy and Parental Agreement, which will be provided at the point of offering a place on the summer school. Participants and their parents must confirm receipt, understanding and acceptance of the behaviour policy and parental agreement for a place to be secured.

6. Data protection  

The University will process your personal data in accordance with the Data Protection Act 2018, the General Data Protection Regulation (EU) 2016/679 and any relevant replacement/subsequent European legislation for as long as they are applicable in the United Kingdom, and any UK privacy legislation, for the purposes of performing its obligations and exercising its rights under these terms and conditions.

The University of Bristol may transfer your personal data to overseas partners or service providers (for example, your agent, home institution or sponsor) for the purpose of facilitating your summer school programme. This includes sharing information about you in emergency situations. Those destinations may have different laws and regulations governing the use of your personal data which could involve activities and risks which are out of the University of Bristol’s control. 7. Limitation of liability  

7.1 Participants will arrange a personal health and travel insurance policy that spans the entirety of the Summer School programme dates. This should include cover for personal belongings and for non-attendance due to ill health, travel restrictions, visa delays, and programme cancellation/postponement.

7.2 Subject to clause 7.4, the liability of the University to you with respect to the provision of the Summer Schools, the cancellation, postponement, or amendment of the Summer Schools, any negligence, any breach of these terms and conditions, or arising in any other way out of the subject-matter of these terms and conditions, will not extend to:

  1. any indirect losses or damages, or to any loss of profits, loss of contracts or opportunity, whether direct or indirect, even if the University had been advised of the possibility of those losses or if they were within the University’s contemplation; or
  2. any costs or expenses incurred by any person or organisation in connection with travel, accommodation, immigration services, insurance, reservations or other arrangements.

7.3 In the event of a Summer School cancellation, or the withdrawal of your offer, subject to clause 7.4, the liability of the University to you is limited to the total amount of any payments received from you or on your behalf towards your chosen Summer School as set out in Section 4 above.

7.4 Nothing in these terms and conditions will operate to limit or exclude the liability of the University for death or personal injury arising from the University’s negligence, fraud or any other liability that, by law, cannot be limited or excluded.

7.5 The University accepts no liability for loss or damage to your personal property and belongings, and insurance cover for these items shall be your sole responsibility.

7.6 The University will not be responsible for any costs you incur if you have to stay in the UK after the end date of your Summer School.

7.7 The University’s total liability in any event and subject only to clause 7.4 is the Programme Fee actually received from you.

8. Force majeure  

The University shall not be liable for any delay in performing or failure to perform its obligations under these terms and conditions if such delay or failure results from any events, circumstances or causes beyond its reasonable control including Acts of God, natural disasters, epidemics, pandemics, government restrictions, wars or civil commotion or terrorism.

9. Governing law  

Any dispute or claim arising in connection with our contract with you, or this document’s subject matter or formation (including non-contractual disputes or claims) shall be governed by and construed in accordance with the law of England and Wales.
