The Key Dates (Word file, 60Kb) for 2011/12 provide information on examination and related deadlines.
Each examination paper should have a rubric page as the first page of the paper. A recommended format for rubric (standard) (Word file, 25Kb) and a format for rubric (MCQ papers) (Word file 150Kb) is available.
Education Committee has agreed that the Examinations Office can only run examinations centrally with durations in multiples of 30 minutes. This means that any examinations which are, for example, 45 minutes, 1 hour 15 minutes, 2 hours 10 minutes, will have to be run in school/department. Any examinations requiring a period of reading time, which needs to be announced to students, will also need to be held in school/department. This will ensure that there are fewer disturbances in the central examination halls.
Candidate numbers are used to enable anonymous marking. These numbers are private to each individual student and must not be divulged to anyone other than an administrator dealing with examination results. Candidate numbers should be treated as carefully as a bank account PIN or password.
If you need to find out who in your school is authorised to access candidate numbers, please speak to the Student Administration Manager for your school.
Authorised staff can access candidate numbers using standard jobs from the ' Web-enabled Oracle applications'. You need to use your 'Oracle' username and password and the database should be set to 'prod.'
From the main menu choose option 1 Standard Jobs (reports) and select from the two standard jobs listed below:
BSRS9848 - CANDIDATE NO CSV FILE BY ROUTE
BSRS9849 - CANDIDATE NO CSV FILE BY UNIT
Both of these jobs generate a CSV file which is e-mailed to the user. Double-click on this attachment and it will automatically open up in Excel. The fields reported in returned file are: unit code, unit name, SPR code, surname, forename, status, candidate number (if authorised), academic year, year of study, disability, extra time.
If you experience any technical difficulties, please email Student Systems and Information for assistance. However, it may be that you have not been given access rights, in which case you will need your Examinations Officer or School Administrator to contact the Examinations Office to request that you are given access to download candidate numbers. Normally only two people per school are authorised to download this information and are expected to provide the data to colleagues in the school, as appropriate.
Staff with SITS access are able to view student's individual examinations timetables via StudentInfo or MyStudents.

Guidance for invigilators can be found in the document Invigilation (Word file, 54Kb). Please ensure that all invigilators have access to this document prior to taking up their invigilation duties. The guidance is improved from year to year so anyone invigilating an examination should ensure that they have read the up to date guidance.
If you are due to invigilate an examination and are unable to attend you should ensure that you contact the Examinations Office by calling 0117 928 7680 or 07746 395 592 before 9:00am for morning examinations or before 1:00pm for afternoon examinations.

The standard payment rate for Doctoral invigilation assistants for 2011/12 is £6.10 per hour. This will be reviewed if there is an adjustment to the UK minimum wage. Higher rates of pay may be made for additional duties and the Examinations Office will advise where this higher rate is applicable.
