Constitution of the University of Bristol Hong Kong Society

Name
The name of the Society shall be the University of Bristol Hong Kong Society. The Society shall be affiliated to the University of Bristol Union.

Aims
The Society is established to promote friendship between Hong Kong students. It also serves as a bridge between the Hong Kong students and the constituents of the University. In perspective, since Hong Kong is the watershed between the oriental and western culture, a blend of unique intellectual experience is therefore directed to the members, e.g. a selection of literature, music appreciation and the introduction to Hong Kong culture.

Membership
a) Full membership is open to all ordinary members of the Union on application by signing up on the membership list and the payment of the subscription fee as requested by the Committee of the Society.
b) Associate membership is open to all other persons who are interested in the aims and activities of the Society.
c) No less than two-thirds of the Society members shall be members of the Union.
d) The secretary shall keep a list of all members.

Privileges of Membership
a) Every member of the Society may participate in the activities organised by the Society.
b) Only full members may sit on the Committee.
c) All categories of membership are entitled the rights of voting.

Committee
a) The Committee consists of the president, vice president, the secretary, the treasurer, the sports secretary and three committee members to assist the day-to-day running of the Society.
b) Every Committee member shall be a member of the Union.
c) The Committee is responsible for the general and financial policy of the Society subject to regulations as stated by the Union.
d) The Committee shall meet at regular intervals.

Financial
a) The Treasurer of the Society shall be a member of the Society not in his or her final year at the University.
b) The Accounts of the Society shall be audited by a member of the University staff and submitted to Audit Sub-Committee of the Union before May 1st.
c) All financial arrangements must be in accordance with current instructions to Society Treasurers as stated by the Union.

General Meetings
a) The Committee has the right to call on general meetings whenever necessary. At least one Annual General Meeting must be held.
b) Notices of such meetings must be published or announced to all categories of members at least seven days beforehand.
c) A meeting is regarded as valid only when a quarter of the total registered members are present.
d) An emergency general meeting may be called at the will of the Committee with an advanced notice of two working days.

Elections
a) The election of a new Committee shall be held at the Annual General Meeting.
b) Only full members will be qualified to stand for the election of any post.
c) A member of the Committee must receive nominations or self-nominations at least one week before the election meeting.
d) A secret ballot system is used in voting for each individual post.
e) Voting shall be by simple majority.

Constitution Amendments
a) Amendments to this Constitution must be carried by a majority of two-thirds of the members present at a properly constituted General Meeting.
b) All such amendments must be submitted to the Union for ratification.
c) Review of this Constitution must be conducted in the Annual General Meeting.
