Search list archive

If you are completing any of the tasks below from outside the University, you will need to connect to the VPN first.

If you want to find a particular message or look for information on a topic in the list archive, you can perform either a simple or advanced search.

Performing a simple search

Please note: the advanced search is much more flexible than simple search and will suit your needs better if you do not know precisely what you are looking for.

To perform a simple search:

  1. Go to the Mailing list homepage and log on.
  2. Go to the information page of the list you want to search (you cannot search more than one list at the same time - you will need to repeat the search for each list).
  3. In the left menu, click on Archive to open a message index page displays (you can search from index pages and from message pages).
  4. Go to the message index of the month you want to search by using the calendar displayed on the top, left-hand side (the search will process the messages of the chosen month and the previous month during which messages were sent.  If you do not know when the message was sent, use the advanced search mode).
  5. Enter your keywords in the search box (the search engine processes your input as a sentence.  If you want to search with several non contiguous words, use the advanced search mode).
  6. Click on Search.

The messages that match your search display are now listed.  For further information refer to the Search results section below.

Using the advanced search mode

The advanced search mode is much more powerful and flexible than the simple search mode.

To perform an advanced search:

  1. Go to the Mailing list homepage and log on.
  2. Go to the information page of the list you want to search (you cannot search more than one list at the same time - you will need to repeat the search for each list).
  3. Click on Advanced search below the search box.
  4. Enter your keywords in the search box.
  5. Choose your search options (tip: in the Extend search field list, to select all months for which an archive is available, click on the first month, hold down the Shift key and click on the last month of the list - although not indicated in the list, the current month will be processed as well).
  6. Click on Search.

The messages that match your search display are now listed.  For further information refer to the Search results section below.

Search results

By default, messages are sorted from the latest to the oldest and each page displays up to ten results.  With the advanced search mode, you can change these settings to match your preferences.  When there are many results, they are sometimes displayed on several pages, so double-check whether the search results are multi-page.

When you specify a large search range, sometimes only a part of the messages is processed in a first step of search - in this case a button labelled Continue search appears at the bottom of the results.  To process the next part of the search click on Continue search to search in the rest of messages.  You may need to click this button several times if the search is complex.

For each message that matches the search criteria, the results page displays the message subject, sending date, sender and a few lines of context containing the searched keywords.

To read one of the messages matching your search:

  1. Click on its subject.

Please note: if you use Internet Explorer and click to read a message from the results page, you will not be able to use the back button of your browser to return to the results page.  It is suggested that you open messages in a new window by right-clicking on the link and selecting Open in New Window.  If you use Mozilla's Firefox, messages should appear in new tabs so that you can return to the results page by closing the message tab.
