How to archive a section

What is an archived section?

Within T4 Site Manager, sections can be flagged as 'archived'.

An archived section is removed from the scheduled publish cycle that takes place several times during the day. This reduces the volume of content in the publish cycle, making publishing quicker. Archived sections are instead published just once a week during the Friday 8 pm publish.

You should make a habit of archiving content that is not regularly updated.

Archiving does not remove content from the public-facing web, it just stops it from being published during the day.

An archived section takes on the following appearance in T4 Site Manager, where the folder icon changes and the section name is italicised:

Any subsections beneath an archived section will also be archived, though they do not change their appearance.

A number of sections across the University web have been archived.

If you are aware of sections that are not regularly updated (eg past year sections within News or Events sections, or sections that contain content that is only occasionally updated), you can archive them yourself.

How to archive a section (moderators only)

Note: before archiving a section, be aware that any subsections will also inherit the archived status.

  1. Modify the section.
  2. Under the 'General' tab, select the check box next to 'Archive Section', outlined in green below. If you cannot do this you may not have sufficient permissions, please contact your website administrator.
  3. Click 'Update'. The section - and all its subsections - will no longer go through the publishing cycle.

How to update content in an archived section (moderators only)

Note: when a section is archived, any subsections inherit the archived status. When editing a subsection, don't forget to check its parent section (higher up the hierarchy) to see if it has been archived.

If you want to update a page within a section that has been archived and it needs to be published before the 8 pm publish, you can unarchive the section:

  1. Modify the archived section.
  2. Under the 'General' tab, deselect the 'Archive Section' check box, outlined in green above. If you cannot do this you may not have sufficient permissions, please contact your site administrator.
  3. Click 'Update'. You can now update and approve your content as usual.
  4. Once the content has published, you should then re-archive the section following the steps above.
