Property

In the event of any accidental damage to building or property, repairs should be arranged via Maintenance Services.

Theft of property should be reported to the Security Lodge.  Then contact the Insurance Officer for a claim form.  If the loss is more than £15,000, the insurers will probably appoint a loss adjustor to investigate on their behalf.

Motor

Breakdowns

Emergency breakdown cover with the AA can be arranged via the Procurement Office.

If you have an accident

Reporting a claim

  1. The driver should contact the Insurance Office to report the accident.  You will need to complete a claim form and send it to the Insurance Office so that we can register the claim with insurance company as soon as possible. Please ensure you are able to provide the following information: the registration number of the vehicle you were driving, the date and time of the incident, the location of the accident and details of any damage caused to your vehicle or any third party vehicle, as well as the registration number and name of any third party involved.
  2. IMPORTANT: If anyone has been injured in the accident the insurance company must be notified as soon as possible as they only have 15 days to investigate these incidents and establish liability.
  3. If the vehicle is stolen the Insurance Office will also require the following documents to process your claim: Vehicle Registration document, MOT certificate, Service Record, Purchase Receipt (if available), Keys.  A note of the vehicle's mileage and any special features eg: air conditioning, that would increase its market value will assist us to negotiate settlement of your claim.
  4. Approved Repairer Service - in the event of damage to one of our vehicles you should contact the Insurance Office to obtain details of an approved repairer in the Bristol area. This will eliminate the need for you to obtain an estimate from an alternative repairer.
  5. If a windscreen is damaged you can arrange the repair with Autoglass on 0800 363 636 by quoting Zurich Municipal policy number NHE-05CA06-0013-52.  Please note, however, that a £250.00 excess will apply.   Please do not pay VAT on repair bills as we have an arrangement with the insurers to settle the VAT element of our bills.
  6. If the vehicle is immobilised by damage please contact the Insurance Office immediately.
  7. If the vehicle is owned by a hire car company, the hire company can arrange for repairs to take place.  If the damage is minor, it is best to instruct them to proceed immediately.  If the damage is serious - please contact the Insurance Officer immediately and the insurance company may need their engineer to inspect the vehicle.
  8. Liability to others/ third party claims - please pass all correspondence to the Insurance Officer, unanswered.  Writs and Summons must be treated with great urgency.  If you consider a third party responsible for the accident, we have insurance to recover our uninsured costs (eg: £250.00 policy excess, cost of any hired vehicles) and for our driver to pursue a legal claim for compensation for his injuries.  In these circumstances, you should contact the Insurance Office immediately.

Please note that if you have been given a courtesy car by a garage who are repairing your vehicle you will need to inform us so that we can register it with our insurers.

Travel

If you require assistance whilst abroad please contact the ACE Travel assistance helpline on +44 (0)207 173 7796 and quote policy number 55 UK 453160.  Please ensure that you report any thefts to the police in the country that you are visiting and keep a record of the crime reference number issued.  Please also keep receipts for any costs associated with your claim. 

On your return to the UK, report your claim by telephoning the Insurance Office on 0117 331 7030 or e-mailing: insurance-enquiries@bristol.ac.uk then complete and return to the Insurance Office one of the following relevant forms:

The insurance company will not be responsible for "any expenses incurred as the result of the default or financial failure of any transport or accommodation provider, of any agent acting for them or of any agent acting for the Policyholder or Insured Person."
