How do I view another person's diary?

You can view other people's agendas although what you will be able to see if you do so will depend on the access level that the user has set for particular entries and the viewing rights to the various access levels that the other user has granted to you.

Whilst viewing your agenda, do ONE of the following:

  • If you know the name of the person whose agenda you want to view either
    • Press the [Open an Agenda] button on the toolbar
      or
    • From the File menu, select [Agenda / Open]

    In the [Open Agenda] textbox type their name and press [OK]. If more than one person has the same name you will be presented with a list of matches from which you can choose the appropriate one.

  • To search the directory for people or resources use the magnifying glass icon:
    • To search for people, click on the [People] tab, complete the relevant boxes and click on [Search]. All suggested names will be placed in the lower box. (lower left). Select the one you want and click [OK].
    • To search for a resource, click on the [Resource] tab, enter the resource name or number and click on [Search].. If you do not know the resource name, click Search while leaving the boxes empty and you will get a list of all resources. Select the one you want and click [OK].

How do I view the diaries of a group of people?

Viewing a group agenda lets you see the time booked out during a day for a group of people or resources. This depends on viewing rights having been granted to you by each user or resource. The first column of the group agenda is a 'combined' column that allows you to see at what times one or more members of the group are busy. If you have scheduling rights to each agenda in the group, you can invite them to a meeting using Calendar otherwise you can telephone or email them with some suggested meeting times that are likely to be suitable.
  • Whilst viewing your agenda, do ONE of the following:
    • Press the [Open Group Agenda] button on the toolbar
      Or
    • From the File menu, select [Group View / Open]
  • To add people or resources who do not belong to an existing group, type their names in the [Add] textbox in the normal way, pressing [Enter] after each.
  • Your own name will have been added automatically. If you don't wish to be included in this group view, select your name and click the [Delete] button.
If you plan to look at the agendas of the same people regularly, you can create a permanent group to save adding them separately. To search for an existing group:
  • From the [Open Group View] box, click the [Select a Group] button.
  • In the [Select a Group] box:
    • To see all the available groups, select All in the Groups displayed section
    • From the Groups available section, select the group you want.
    The members of that group will be displayed in the right-hand pane To exit, click on OK To open the group view, click on OK. Advance to the date of interest using the navigation arrows. A red bar in the Combined column indicates that one or more of the group members has time booked out at a specified time. You can change who is included in the Combined column by using the check boxes next to people's names in this view.

How can I share my calendar with collaborators who do not have a calendar account

Publishing a Global Agenda for a User Account

 

   1. Log in to your account using the Web version of Oracle Calendar at <https://calendar.bris.ac.uk/ocas-bin/ocas.fcgi?sub=web>

   2. Once logged in, click on the Preferences icon.

   3. Click on the Security tab and check the box next to Allow Global Agenda Viewing.

   4. Click OK.

   5. In your Agenda, click on the link for Email Agenda to a friend.

   6. Type in an email address to send a link to your Web calendar. If you want to publish this link somewhere, type in your own address so you will receive a copy of the URL.

   7. The recipient of the email will receive a message with a link to your published calendar.

   8. The published calendar will show your busy periods, but not what

   you are doing unless the meetings are set set to Public. This link

   will show the current week of your calendar - but viewers can change

   to monthly and daily view. If your Meeting has been set as Public

   then all details can be viewed.
