CODA-Financials is the core financial system used by the University. All financial data should be processed through CODA for the University and its subsidiary companies. Data is held on an Oracle database which, as well as allowing manual input of transactions, has links to other systems including the central personnel system - PIMS, student records system - Dolphin and departmental systems (eg Access, Excel and Hyperdata). Data held on CODA is the source of the information used to produce the University key financial information including the financial statements, HEFCE forecasts and returns, management accounts, FIS sheets and other ad hoc reports.
CODA is only available to staff in the Finance Office and access will be granted to new staff as requested (it is a client-server application requiring a specific PC build). Finance staff also have access to (VB) Finance Reporting which allows staff to view the data retained in CODA within prescribed parameters. For some staff it also enables them to maintain codes.
Staff outside the Finance Office are able upon request to receive a monthly Finance File Download. This is in addition to the paper reports automatically sent to them and provides details of all transactions relevant to their department. There is also limited departmental access to (VB) Finance Reporting.
Heads of Departments and Principle Investigators have automatic access to BOFINS.
The Finance Office provides training on a number of systems to finance staff. Please see Staff Development Current Course Listing in the first instance or seek guidance from your Faculty Accountant.
There are a variety of CODA courses available which should be arranged through the Finance Office. These are restricted to key staff within IS and the Finance Office.
There is documentation available within the Finance Office website regarding Forms , Regulations, Coding Structures and Timetables.
Information Services maintain CODA but issues regarding financial systems should be directed to the Finance Systems Manager, Mary-Anne O'Reilly.
