Fee Guidance for Students on Lifelong Learning Courses

1.         Fees –

1.1.    Payment for your Lifelong Learning course must be made at the point of enrolment. Attempts to enrol on a course without payment will be rejected by the school/department concerned.

1.2.    Fees are payable for the whole course, regardless of your start date.

1.3.    In accordance with the University financial regulations, if you are paying for a course in cash you are responsible for delivering the cash payment to the Cash Office, Senate House, Tyndall Avenue and full instructions of where and how to do this will be provided by your school/department. The Cash Office will provide a receipt of payment which must be kept for your records.

1.4.    Where paying for a course in cash, the school/department will make the booking and note on you student record that you have been instructed and have agreed to take the payment to the Cash Office. Schools/departments will not accept the cash payment themselves. If it is discovered that you have not paid for the course you will be recorded as a debtor (please see section 5).

2.         Attendance –

2.1.    If you do not attend three consecutive classes you will be withdrawn from the course by the school/department concerned and will not receive a refund.

2.2.    If you are unable to attend a course you must cancel your booking before the registration deadline for your course in order for the University to fill your place.

2.3.    If you intend to transfer to another course you must inform your course tutor by the end of the second class in order for the transfer to be processed. You will only be able to transfer to another course where there is space available and you will be charged accordingly if the new course has a higher fee.

3.         Part payments –

3.1.    Courses with fees totalling less than £500 must be paid upfront and in full.

3.2.    Courses with fees totalling more than £500 may be paid in instalments at the discretion of the school/department and subject to approval by the Finance Office. Please contact your school/department to discuss.

4.         Refunds –

4.1.    Full refunds for a course will normally only be made if the course is cancelled by the University at or prior to its third meeting.

4.2.    Refunds are not available where you leave a course after the course has started, or if you fail to start the course.

4.3.    You may be eligible for a refund if you have transferred within three weeks of the course starting and where the new course has a lower fee than the course you have transferred from.

4.4.    Refunds will not be processed for students with outstanding debt to the University.

5.         Debtors –

5.1.    Students in debt to the University will not be allowed to book on any further Lifelong Learning courses and will not receive credit until the debt has been repaid in full. You will be contacted by your school/department in the first instance if you are found to be in debt to the University.

5.2.    If you fail to submit payment you will be contacted by your school/department within two weeks of the expected payment date and asked to make immediate payment of the amount due. 

5.3.    If you fail to submit payment following contact from your school/department, the University reserves the right to terminate your studies. Any additional administrative costs incurred will be added to your account.

6.         Bursaries / fee reductions

6.1.    Reductions in fees are offered at the discretion of the school/department and with the approval of the faculty only in exceptional circumstances.

7.         Sponsorship –

7.1.    If your fees are being paid by an external organisation, such as your place of employment, you will not be booked onto the course until one of the following has been received:

7.1.1. Full payment for the course

7.1.2. A purchase order from the sponsor

7.1.3. A letter of support from the sponsor confirming that they would like to be invoiced for the fees

7.2.    You must contact the relevant school/department in advance of the booking and the school/department will issue an invoice to your sponsor.

7.3.    Schools/departments may reserve a place on the course at their discretion but this is not a guaranteed booking if the course becomes fully subscribed and payment has not been received.
